HR, Operations, and Volunteer Coordinator

The HR, Operations, and Volunteer Coordinator is responsible for providing comprehensive support to the Chief People and Compliance Officer (CPCO), Chief Programs Officer (CPO) and Chief Operating Officer (COO), and coordinating the organization’s Volunteer program, general HR support, office project coordination, and IT project coordination as needed. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
This is a full time 32-35 hour a week position with flexibility in work hours. Position is temporarily mostly remote but have have occasional in person duties; at a later date it will be hybrid with both in person and work from home blended/

Essential Responsibilities are including but not limited to:

Human Resources

  • Assist the CPCO with the recruiting and onboarding of new staff. Will have an emphasis on recruitment of summer camp staff during the spring season

  • Provides basic HR information to staff; serves and an “answer” person for basic policies and procedures.

  • Assist HR with safety issues such as workers compensation, COVID19, and OSHA

  • Maintenance of employee files; will provide internal audits and remediation as necessary

  • Assist with Benefits enrollment

  • Provide support for payroll as needed

  • Special projects such as policy development, compliance with regulatory requirements, and other issues related to the changing HR landscape


  • Provide internal IT support including setup and training of hardware and software, as well as purchase of IT goods and services, and communication with service vendors including Information Technology contractors, as needed.

  • Provide setup for new hires and personnel changes in areas such as equipment distribution, email setup, access assignments, parking permits, etc.

  • Provide basic IT support such as troubleshooting staff computer issues, setup of computer labs, and guidance to staff on IT usage at all locations including Camp Mary Orton and Reeb Community Center..

  • Organize, plan, and execute projects as needed.

  • Manage infrastructure and other projects as needed with Facilities, Operations, and Programs.

  • Coordinate and communicate needs of tenants of Guild properties, ensuring satisfaction of all parties.

  • Provide regular on-site IT/office support at Camp Mary Orton.


  • Partner with HR and Philanthropy departments in recruiting, orienting, and scheduling a sufficient number qualified volunteers in order to implement the mission of the Agency and its various programs, including special events

  • Developing and providing volunteers with leadership, direction, feedback, development exercises, training and recognition regarding individual job performance;

  • Maintaining Volunteer personnel files and ensure compliance with various requirements such as background checks, conflict of interest, and confidentiality

  • Monitoring, tracking and evaluating effectiveness of volunteer recruitment, hours of service and management activities through database and other files;

  • Matching volunteer to appropriate program based on skills and need;

  • Assist programs in identifying volunteer needs

  • Work closely the Philanthropy department in volunteer-to-donor pipeline, and how volunteerism interacts with organizational philanthropy

Work Experience and Education

  • Solid basic IT and business equipment skills required

  • Requires satisfactory background check.

  • Experience and interest in internal and external communications

  • Proficient in Microsoft office, Google suite, Adobe Acrobat and social media web platforms.

  • Flexibility in work hours; workload may fluctuate seasonally

  • Experience with recruitment of staff or volunteers strongly preferred

  • Two years of administrative experience

  • Ability to majority of work in a remote/ work from home setting, including reliable internet and phone service.

  • Has reliable transportation.

    Position is currently 95% remote. At a future date more in person work may be required but a majority of the position will be work from home at employee's preference
