Senior Administrative Assistant 


Godman Guild is currently seeking a Senior Administrative Assistant. The Senior Assistant is responsible for providing comprehensive support to the Chief Executive Officer (CEO). This dynamic position requires excellent written and verbal communication skills, the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

 

Essential Responsibilities: 

  • Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; prioritizing tasks; composing and preparing correspondence that is sometimes confidential;

  • Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.

  • Communicates directly, and on behalf of the CEO with board members, executive team, partners, staff and others on matters related to CEO’s programmatic initiatives.

  • Researches, prioritizes and follows up on incoming issues and concerns addressed to the executive team, including those of a sensitive or confidential nature. Consults on appropriate course of action, referral, and/or response.

  • Provides administrative and clerical support to the CEO.

  • Organize, plan, and execute major projects as needed.

Other Responsibilities:

  • Board Support and Liaison

    • Serves as the CEO’s administrative liaison to Godman Guild’s board of trustees.

    • Maintains discretion and confidentiality in relationships with all board members.

    • Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format, maintaining attendance records and preparing required reports.

    • Prepares for and sets up for full board meetings and executive committee meetings.

  • Senior Management Liaison

    • May participate as an adjunct member of the Executive Team including assisting in scheduling meetings and may attend executive team meetings.

    • Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meeting as directed by the CEO.

    • Facilitates cross-divisional coordination of travel and outreach plans.

    • Keeps Executive Team updated on deliverables for all external partnerships, board memberships, etc.

    • Works with the Philanthropy Department in coordinating the CEO’s outreach activities, and provides assistance to initiatives for the Chief Philanthropy Officer.

Work Experience and Education

  • Experience reporting to C-Level Executives in a non-profit organization strongly preferred

  • Requires satisfactory background check.  

  • Experience and interest in internal and external communications, partnership development.

  • Proficient in Microsoft office, Google suite, Adobe Acrobat and social media web platforms.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and funders and donors.

  • Expert level written and verbal communication skills

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.

  • Emotional maturity.

  • Highly resourceful team player, with the ability to also be extremely effective independently.

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client satisfaction.

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

  • Forward looking thinker, who actively seeks opportunities and proposes solutions.

  • Must possess a valid driver’s license with no major or DUI offenses in the past five years.

  • COVID Vaccine is required

Salary: $41,000-$43,000
